Office Administrator & Dispatch Coordinator

Climate Works is a growing HVAC company expanding to the Toronto area. We are seeking to hire a highly organized and detail oriented individual to fill a full time position as our new Office Administrator & Dispatch Coordinator.

Key Activities:

  • Organizing, arranging, and coordinating all onsite meetings for TCH contract
  • Coordinating project scheduling.
  • TCH contract facilitation including but not limited to scheduling of work at the properties as required, report submissions, administration, and invoicing
  • Maintain, process and organize all office services, operations, procedures, and correspondence.
  • Handling of bookings, scheduling, and work order creations
  • Handling of all external and internal communication and inquires, via telephone and email correspondence.
  • Ensure efficient and timely workflow of information into and out of the department; with an emphasis on meeting scheduled deadlines and/or target dates
  • Work collaboratively with team members to improve processes and streamline work in collaboration with your peers
  • Developing business acumen in order to anticipate needs (e.g., independently anticipating the next step in a process, prompting the appropriate people, being resourceful and one step ahead)

Qualifications: 

  • Experience and comfort communicating with vendors and suppliers required
  • Strong written and verbal English communication skills
  • High degree of professionalism and confidentiality
  • Independent, and self-motivated with ability to work autonomously
  • Strong organizational skills, with strong prioritization
  • Ability to work on multiple projects simultaneously
  • Proven strong ability in executive level office administration, with advanced skills in MS Office
